Privacy and data handling

Deadline Bid Desk is a one-person business run by Ruben Mocke in South Africa. I am the responsible party for the information described here, and I am the only person who handles it.

This website

The site is static HTML and CSS hosted on GitHub Pages. There are no cookies, no analytics, no tracking pixels, no advertising tags, no embedded fonts or scripts from other companies, and no contact form. Nothing on the page profiles you.

GitHub, as the host, records standard server access logs, which include visitor IP addresses, for security and abuse prevention. I cannot see those logs and I do not receive them. See GitHub's privacy statement.

Per-prospect pages

Some pages under /maps/ are prepared for a single company and sent to one business contact by email. They contain only publicly published tender information plus the company's name. They carry a noindex,nofollow instruction so search engines do not list them, and they contain no private information about anyone. If you have received one and want it removed, email me and it is deleted the same day.

I do not ask for and do not hold your card numbers or banking credentials. Deposits and invoices are paid by transfer; I see only the fact that a payment arrived.

Staff CVs and other people's information

A bid often includes CVs and qualifications of your named staff. That is personal information about them, not about you. I use it only to write that bid, I do not use it for anything else, and it is deleted with the rest of the job file. You are responsible for having told those people that their details are being used in a tender submission.

Business-to-business contact

I contact companies that are already bidding for public contracts, using business email addresses, about a live tender relevant to their trade. I do not buy consumer lists and I do not contact private individuals.

United Kingdom

Under the Privacy and Electronic Communications Regulations (PECR), marketing email may be sent to corporate subscribers — companies, limited liability partnerships, and public bodies — without prior consent. I rely on that, together with legitimate interests under the UK GDPR, for a first email. I do not send marketing email to sole traders or unincorporated partnerships without consent, because PECR treats them as individual subscribers. Every email identifies me, says where I got the address, and tells you how to stop it.

United States

Commercial email is sent in line with the CAN-SPAM Act: accurate sender and subject lines, a valid postal address, a working opt-out, and opt-outs actioned within 10 business days. In practice I action them the same day.

South Africa

For direct marketing by electronic communication, section 69 of POPIA applies. I contact existing and former clients about similar services, and otherwise only where the recipient has consented or the contact is to a juristic person and is not direct marketing to a data subject who has objected. Every message identifies me and offers a free way to object.

How to opt out

Reply to any email with "stop", or email ruben@deadlinebiddesk.com with "opt out". No reason needed, no form to fill in. You will hear nothing further. I keep only your email address on a suppression list, which exists solely to make sure I do not contact you again.

Who else sees your information

I am the only person who works on your material. Data passes through a small number of service providers in the ordinary course:

I do not sell, rent or share your information with anyone else, and I do not disclose that you are a client. Some of these providers are outside South Africa and the UK, so your information may be processed abroad under the provider's own contractual safeguards.

Security

Accounts are protected with unique passwords in a password manager and two-factor authentication. Job files are deleted on the schedule above rather than kept indefinitely. I am one person on known devices; if there were ever a breach affecting your data, I would tell you and the relevant regulator promptly.

Your rights

Wherever you are, you can ask me to show you what I hold about you, correct it, delete it, stop using it for contact, or send you a copy. Email me and I will action it within 14 days at the latest, and normally the same week. It is free.
